Vendor management system, from registration to ERP.
A new supplier fills in one form. Procurement gets a checked summary, not a folder of attachments.
This vendor management system starts where onboarding does, reading company, bank and certificate details from the registration form and documents. They are checked against your records for duplicates and mismatches and routed for approval in Teams. Once approved, the supplier is created in your ERP and renewals are tracked.
- One vendor registration form
- Duplicates and mismatches caught
- Procurement approves each one
No upfront consultation fee. Free discovery and a free tailored proposal.
Every new supplier means another chain of emails.
Suppliers send forms, bank letters and certificates by email, in pieces. Procurement chases what is missing, finance retypes bank details, and approvals wait in someone's inbox. Purchases stall until the vendor exists in the ERP.
Before: onboarding by email
- Email the supplier a blank form
- Chase missing documents and signatures
- Check the details against each attachment
- Forward for approval and wait
- Key the supplier into the ERP
After: the onboarding workflow
- Supplier registers once through a form or portal
- Documents collected and details extracted
- Duplicates and bank details checked
- Procurement and finance approve in TeamsYour team
- Supplier created in the ERP, renewals tracked
Procurement reviews one checked summary per supplier. Finance steps in only when bank details don't line up.

Where the records live.
Suppliers use one link. Approvals happen in Teams, and the finished record lands in the ERP your finance team already runs.
ERPs differ in what their APIs and permissions allow. Where yours is closed, the approved record can be prepared as an import file for finance to load.

Vendor management system questions.
Straight answers about scope, data, ownership and support. Can’t find yours? Ask us directly below.
What is a vendor management system, and what does this one cover?
A vendor management system keeps supplier records, documents and approvals in one controlled process. This one covers onboarding: vendor registration, document checks, duplicate and bank detail checks, approvals in Microsoft Teams, supplier creation in your ERP and reminders when certificates and licences are due for renewal.
Do suppliers need a portal login for vendor registration?
No. Each supplier can receive a unique link to one registration form, such as a Google Form, and upload documents there. If you already run a supplier portal, vendor onboarding can start from it instead, and incomplete registrations are chased until the required documents arrive.
Which documents does it check for Malaysian suppliers?
Usually the SSM company profile, a bank letter, SST registration and any licences or certificates your policy requires, such as ISO 9001. Details are read from each document and compared with the form, and the checklist can differ for local suppliers, foreign suppliers and contractors.
How does it help prevent bank detail fraud?
By never accepting bank details on trust. Account names are compared with the company record, and any mismatch or later change goes to finance to verify by phone with a known contact. Bank details are not updated from an email alone, and contact persons' data is handled under PDPA with access limited to the people who need it.
Can approvals happen in Microsoft Teams?
Yes. Approvers get the supplier summary and documents in Teams and can approve or send a query back. The order of approvals follows your matrix by category, value and risk, and nothing is created in the ERP until every required approver has signed off.
Does it create the supplier in SAP or AutoCount?
Yes, where your ERP's API allows it. The approved supplier is created with bank details and payment terms in SAP, AutoCount or another ERP. Where the API is closed, an import file is prepared for finance to load and check, so details are still keyed in only once.
How much does supplier onboarding automation cost?
It depends on your supplier types, required documents, approval matrix and how your ERP accepts new records. We share a private quote after a free discovery session with procurement and finance. Rollout usually starts with one supplier category, such as local trade suppliers, and extends to contractors and foreign suppliers once the first flow is settled.
Is this better than off-the-shelf vendor management software?
It depends on how you work today. Packaged vendor management software often asks you to adopt its own portal and process. This workflow fits around the tools you already use, such as Teams, your ERP and your registration form, and follows your own supplier policy and approval matrix.
