Data & Analytics Automation

Automated reporting: one set of numbers, ready when you need them.

Why does every report still start with an export?

Data copied out of several tools, spreadsheets merged by hand and figures that disagree between teams. We design reporting workflows that collect, check and prepare the numbers on schedule, so managers see the same figures sooner.

  • Connects to the tools you already use
  • Checks before numbers are shared

Where does reporting slow your decisions?

Pick the one that sounds most like your week.

What it leads to
  • Report time grows with every new data source
  • One person becomes the only one who knows how
  • Copy-paste mistakes reach the people deciding

What it leads to
  • Formats and names don't line up
  • Duplicates and gaps skew the totals
  • Every merge is done slightly differently

What it leads to
  • Decisions are made on last month's picture
  • Drops and spikes are spotted after they cost money
  • Managers ask for one-off numbers in between

What it leads to
  • Meetings start by arguing over whose number is right
  • Nobody can see the whole picture in one place

One report looks manageable. Every week, for every team, it becomes a job in itself.

The transformation

Same weekly report. No Monday rebuild.

A weekly management report example. The figures and the sign-off stay the same; the exporting, merging and checking move to the workflow.

Before: manual

  1. Exports downloaded from each system on Monday
  2. Files pasted into a master spreadsheet
  3. Formulas, names and formats fixed by hand
  4. Totals compared with finance by eye
  5. Report emailed, questions answered one by one

After: connected workflow

  1. Scheduled run pulls data from each source
  2. Records cleaned, matched and combined in one place
  3. Totals reconciled, gaps and mismatches flagged
  4. The report owner checks and signs off the figuresYour team
  5. Dashboard refreshed and summary shared with the team

The numbers still need an owner. They no longer need a Monday morning.

Where to start

Start with the numbers your team needs first.

Four common places to begin. What each one connects to depends on your data sources, the access they allow and the agreed scope.

Scheduled management reports

From reports built by hand to the same layout generated on schedule, with a short note on what changed.

  1. TriggerWeekly schedule runs
  2. AutomatedData pulled, report built, summarised
  3. Human checkpointReport owner checks the figures
  4. OutcomeReport shared on time

Data consolidation and sync

From scattered spreadsheets and app exports to one cleaned dataset, with rules for which source wins.

  1. TriggerNew data lands in a source
  2. AutomatedCleaned, de-duplicated and combined
  3. Human checkpointConflicts reviewed by the data owner
  4. OutcomeOne dataset every report draws on

Live KPI dashboard

From numbers spread across tools to one dashboard for the metrics managers check, refreshed as sources allow.

  1. TriggerSource data refreshes
  2. AutomatedMetrics calculated to agreed rules
  3. Human checkpointDefinitions signed off by managers
  4. OutcomeEveryone sees the same figures

Threshold alerts

From problems found in next week's report to an alert when a metric crosses the limits you set.

  1. TriggerDaily data refresh
  2. AutomatedMetric compared with your limits
  3. Human checkpointOwner checks the cause
  4. OutcomeAction taken while it still matters
Estimate the opportunity

Rebuilt every week. Paid for every month.

Adjust the assumptions to match your team. The default example: 40 reports a month at 90 minutes each is 60 hours of manual work.

Manual work today60hours a month

40 tasks × 90 min ÷ 60 = 60 hours

Time you could recover42 hrsa month
Capacity valueRM 1,050a month

Automation with oversight

Reports run on schedule. Doubtful numbers get held.

Every reporting workflow checks its inputs before publishing, and sends anything that doesn't add up to the person who owns the data.

Checks before publishing
Row counts, required fields, duplicates and totals are checked against your sources before a report or dashboard updates.
Read-only where possible
Workflows use your own accounts with read access wherever they can. Data handling, AI providers and hosting are confirmed per project.
Gaps shown, not hidden
Missing or stale data is marked on the report and sent to its owner, and every run is logged for review.
A practical first step

We start with one report worth automating.

  1. 01

    Map your reporting today

Which reports exist, who builds and reads them, where each number comes from and how much time they take.

  2. 02

    Size the opportunity

Realistic targets, which sources can be connected, the metric definitions to agree and the acceptance criteria to test against.

  3. 03

    Scope a first pilot

One bounded report or dashboard with agreed deliverables, responsibilities and a private quote.

FAQ

Data and reporting automation questions.

Straight answers about scope, data, ownership and support. Can’t find yours? Ask us directly below.

What can data and analytics automation do for my business?

It removes the manual work behind your reporting: pulling data from your apps and spreadsheets, cleaning it, bringing it into one place and turning it into scheduled reports, dashboards and alerts. Your team spends less time exporting and more time acting on the numbers.

Can it replace our manual spreadsheet reports?

In most cases, yes. We rebuild the reports you assemble by hand as automated workflows that collect the same data, apply your calculations and deliver the finished report on schedule, so exports, VLOOKUPs and copy-paste are reduced.

Can it build live KPI dashboards?

Yes. We build dashboards for the metrics your managers check, such as revenue, conversion and pipeline, refreshed as often as each source allows, so teams see current figures instead of last week's snapshot.

Will we get one source of truth?

Only once the definitions are agreed and the data is accessible. Part of the work is agreeing how each metric is calculated and which system wins when two disagree. Where a source can't be connected, we say so and show where the figure comes from.

Do we need a data warehouse or new software?

Usually not to start. Many reports can be automated from your existing apps, spreadsheets and databases. A central database or warehouse is suggested only when the volume or number of sources calls for it, and we explain why.

What if the input data is wrong?

Automation can't make wrong source data right. We add checks for missing fields, row counts, duplicates and totals that don't reconcile. When a check fails, the report is held or clearly marked and the data owner is asked to fix the source.

Which tools and data sources does it connect to?

Google Sheets and Analytics, databases like PostgreSQL, MySQL and BigQuery, warehouses like Snowflake, and apps such as Stripe, HubSpot, Airtable and Notion, depending on the access each one allows.

How long does it take to set up?

It depends on the number of sources, data quality, metric definitions and the checks needed. We confirm a timeline in the initial plan after the free discovery, and begin with one report or dashboard.
