Recruitment & talent teams

AI automation for recruitment

Cut the admin between an application and a conversation.

We automate candidate updates, interview scheduling, document collection and ATS hand-offs, while recruiters stay responsible for evaluating candidates and making hiring decisions.

No upfront consultation fee. Free discovery and a free tailored proposal.

DecisionsMade by recruiters
Application to interviewExample run
  1. Application receivedCV saved to the ATS record
  2. Details extractedExperience and skills set against criteria
  3. Recruiter reviewRecruiter decides on the shortlist
  4. Interview slotOffered only after recruiter approval
Where this helps

The role is open. The admin slows the hire.

Assessing candidates is the recruiter's job. Sorting files, booking slots and sending updates is the admin around it, and that is what we automate.

See what changes for each team ↓
01

Recruiters sorting CVs by hand

Applications arrive from job boards, email and forms, and each one is opened and filed before anyone can review it.

02

Coordinators stuck in scheduling ping-pong

Finding a slot that suits the candidate and the panel takes a string of emails, and reschedules start it again.

03

Candidates left without updates

Applicants wait to hear back between stages, and strong candidates accept offers elsewhere.

04

HR chasing onboarding documents

Offer paperwork, forms and identity documents are chased by hand, which delays start dates.

Candidate channels

WhatsApp, email, web chat or a mix, and the wording your team approves.

Which steps need a recruiter or hiring manager, and how decisions are recorded.

Control and data

Recruiters make the decisions.

We agree these with you before anything goes live.

A reviewer-controlled shortlist

The system extracts and organises; it does not reject, rank or score candidates on its own. A recruiter decides each shortlist. CVs it can't read go to a recruiter as they are.

Fairness and transparency

We review screening criteria with you for bias and fairness, each summary links to the original CV, and your privacy notice tells candidates how their data is used.

Data minimisation and retention

Only the candidate data the workflow needs is collected, with retention and deletion periods agreed with you. Data handling, AI providers and hosting are confirmed per project.

FAQ

Recruitment automation questions.

Straight answers about scope, data, ownership and support. Can’t find yours? Ask us directly below.

What can AI automation do for my recruitment team?

It handles the repetitive admin that slows down hiring: organising CVs against your criteria, booking interviews without the back-and-forth, answering common candidate questions outside office hours, sending status updates and collecting onboarding documents. Your recruiters stay responsible for assessing candidates and making hiring decisions.

Does it work with Greenhouse, Indeed and my ATS?

Usually, yes, where the platform offers an API and your plan and permissions allow it. The automation can then read applications, roles and candidates and update records in your ATS. We confirm what each system supports during discovery.

Can it help screen and shortlist CVs?

It can support screening. The system extracts details from incoming CVs and organises them against the role criteria you set, with a link to each original CV. A recruiter reviews every application and decides who is shortlisted. It does not reject or rank candidates on its own, and we review criteria for bias and fairness with you.

Can it schedule interviews for us?

Yes. Once a recruiter approves a candidate for interview, the assistant offers live availability, books the slot into your calendar via Calendly or Google Calendar, sends confirmations and reminders, and handles reschedules, which cuts down the email ping-pong.

Can it answer candidates outside office hours on WhatsApp?

Yes, within the channels in scope. We can set up an AI candidate assistant on WhatsApp, web chat and email that answers common questions about the role, process and next steps outside office hours, and hands complex cases to your recruiters. WhatsApp needs an eligible WhatsApp Business account and Meta approval, which we help you prepare for but cannot guarantee.

Can it keep candidates updated so they don't drop off?

Yes. The system can send updates at each stage, such as application received, interview booked and outcome, using wording your team approves. Outcome messages are sent only after a recruiter has made the decision.

Can it automate onboarding and document workflows?

Yes. Once a candidate accepts, the system collects documents, triggers offer and onboarding paperwork, and routes tasks to the right people so new hires start with less manual chasing.

Do we stay in control of what it sends?

Yes. You set what runs automatically and what waits for a recruiter's approval, and workflow actions are logged where the systems allow. We collect only the candidate data the workflow needs and agree retention and deletion periods with you. We confirm data handling for each project, including which AI providers are used, their no-training terms where available, and where the system is hosted (your infrastructure or a managed server).

How long does it take to set up?

It depends on scope, access and approvals. A focused build such as a CV-screening flow or an interview-scheduling assistant is quicker to set up than a full recruitment automation across screening, scheduling, candidate support and onboarding, which is usually delivered in phases. We set out the proposed phases and timeline in your proposal.

How much does it cost?

Cost depends on the roles, volume and integrations you need. We discuss your process in a free discovery consultation, then provide a tailored scope and private quote in your proposal. We don't list one-size-fits-all project prices.

Does the AI decide who gets hired or rejected?

No. It extracts and organises information so recruiters can review faster. Recruiters and hiring managers assess candidates and make every shortlist, rejection and hiring decision.

How long is candidate data kept?

For as long as you decide, in line with your privacy notice. We agree retention and deletion periods with you during scoping, and can build a scheduled step that lists expired records for HR to approve before they are deleted or anonymised, with a log kept.
