WhatsApp customer service for e-commerce returns, request to refund.

A customer asks to send something back. The order, the policy check and the label are sorted in one chat.

Returns become part of your WhatsApp customer service: an assistant finds the order from the chat, checks the return window and item rules, and sends the return label and packing steps. Damaged items, exceptions and anything that looks unusual go to your team, and no refund is paid until a person approves it.

  • Order found from the chat
  • Checked against your policy
  • Refunds approved by your team

No upfront consultation fee. Free discovery and a free tailored proposal.

The problem

Every return starts with a chat and a spreadsheet.

Return requests arrive on WhatsApp, Instagram and email in no particular format. Someone finds the order, works out whether the policy allows it, sends a label and tracks the refund by hand. In busy weeks, simple returns wait days for a reply.

Before: returns handled by hand

  1. A customer messages about a return
  2. Staff search the store for the order
  3. Check delivery date and policy by eye
  4. Create a label and explain the steps
  5. Track the parcel and refund in a sheet

After: the returns assistant

  1. A customer asks to return, any time
  2. Order found and matched to the buyer
  3. Return window and item rules checked
  4. Damaged items and refunds go to staffYour team
  5. Label sent and the return logged

Straightforward returns move on the same day. Staff time goes to the cases that need a judgement call.

How it works

One eligibility check, four clear outcomes.

Every return request is checked against the order and your policy the same way. What happens next depends on the result.

People and automation

The assistant handles the admin. Your team decides the refund.

Finding orders, checking dates and sending labels is routine. Refunds, damage claims and exceptions stay with the people who own the policy.

The assistant handles
  • Finding the order by number, phone or email
  • Checking the return window and item rules
  • Sending return labels and packing steps
  • Updating customers on parcel and refund status
  • Logging each return with its reason and photos
Your team handles
  • Damaged, faulty and wrong-item claims
  • Approving every refund before it is paid
  • Exceptions to the return window
  • Repeat returns and suspected abuse
  • Inspecting returned parcels
The assistant never
  • Approves or pays a refund on its own
  • Promises exceptions to your return policy
  • Shares order details before matching the buyer

What is WhatsApp customer service for e-commerce returns?

It is an assistant that handles return requests in the WhatsApp chat your customers already use. It finds the order, checks the return window and item rules in your policy, and sends the label and packing steps. Damaged items, exceptions and every refund go to your team, so routine returns move without anyone retyping order numbers.

Does it work with Shopify returns?

Yes. Orders, items and delivery dates are read through the Shopify API, so eligibility is checked against real order data, and approved returns can be recorded back in Shopify. WooCommerce and other platforms with an API work in a similar way, while marketplaces depend on what their seller tools allow.

How does it decide whether a return is allowed?

By the rules in your return policy, not by guesswork. It checks days since delivery, product category, final-sale tags and condition questions such as unworn or unopened. Anything the rules don't cover clearly goes to staff, and customers outside the window are shown the relevant policy line with an option to ask for a person.

Who approves refunds and damaged-item claims?

Your team does. The assistant prepares each refund with the order, the reason and the inspection status, and no money moves until a person approves it. For damaged or wrong items, the customer is asked for photos in the chat, and staff decide on a replacement, refund or courier claim.

Is customer data handled in line with PDPA?

Yes, that is built into the flow. Customers can message from any number, but order details are shared only after the buyer is matched, for example by order number plus the email or phone on the order. Photos and chat logs are kept for the period you set, and only the staff who handle returns can see them.

Can it reply in Bahasa Melayu and Chinese?

Yes. Replies can go out in English, Bahasa Melayu and Chinese, following the language the customer writes in. Your policy wording is checked in each language before launch, so a return window or final-sale rule means the same thing whichever language the customer uses.

How much does returns automation cost, and how long does setup take?

It depends on your store platform, your couriers, how many return rules you have and the languages you need, plus Meta's WhatsApp messaging fees. Once a free discovery session has mapped your returns, we send a private quote. Timelines depend on the same factors: we start with your most common return type, such as wrong size, and add damaged items and exchanges once that first flow runs well.

How is this different from a Shopify returns app?

It depends on how your customers reach you. A returns app usually sends customers to a web form. This works inside the WhatsApp chat they already use, follows your own policy wording and hands judgement calls to your team. If you already run a returns app, requests can often be passed into it where its API allows.
