Bank reconciliation automation that clears the routine matches.

The statement comes in. Most lines are matched before finance opens the file.

Bank reconciliation automation reads lines from your statements or bank feed and matches them to invoices, bills and ledger entries by reference, amount and date. Vague descriptions get a suggested match, and anything uncertain waits in an exception queue for finance to approve.

  • Matched to your ledger
  • Your matching rules
  • Finance approves exceptions

No upfront consultation fee. Free discovery and a free tailored proposal.

The problem

Month-end starts with a statement and a highlighter.

Finance downloads each statement, then ticks every line against invoices and the ledger by hand. Customers pay without references, combine invoices or pay part of one, and the unmatched lines pile up until month-end.

Before: ticking lines by hand

  1. Download statements from each bank
  2. Tick lines against open invoices
  3. Search the ledger for vague descriptions
  4. Ask sales who sent unknown payments
  5. Post receipts and build the recon report

After: the matching workflow

  1. Statements imported from each bank account
  2. Exact references matched to invoices
  3. Amount and date matches, then AI suggestions
  4. Exceptions reviewed and approved by financeYour team
  5. Approved matches posted, recon report updated

Finance works through a short exceptions list instead of the whole statement, and the reconciliation stays current through the month.

How it works

Four matching rules, strictest first.

In this bank reconciliation automation, every bank line goes through the same rules in order. A line stops at the first rule that matches it with confidence; anything left over goes to finance rather than being forced into a match.

AI suggestions are proposals. Finance approves them before anything uncertain is posted to the ledger.

People and automation

The rules do the ticking. Finance makes the calls.

Clear-cut matches are handled by rules you can read. Judgement on part payments, unknown payers and write-offs stays with finance.

The workflow handles
  • Importing statements from each bank account
  • Matching exact references to invoices and bills
  • Matching by amount within a date window
  • Suggesting matches for vague descriptions
  • Preparing the reconciliation report
Finance handles
  • Approving AI-suggested matches
  • Allocating part and combined payments
  • Identifying unknown payers with sales
  • Bank charges, refunds and reversals
  • Signing off the month-end reconciliation
The workflow never
  • Posts an uncertain match without approval
  • Writes off a difference on its own
  • Changes entries in a closed period

FAQ

Bank reconciliation automation questions.

Straight answers about scope, data, ownership and support. Can’t find yours? Ask us directly below.

How does bank reconciliation work in AutoCount?

Finance checks each statement line against the receipts and payments recorded for that bank account, marks what matches and explains the difference. The slow part is finding the right invoice for every line. Automation does that matching first, posts approved receipts where your AutoCount version allows, and leaves finance a short exception list before completing the reconciliation in AutoCount.

Which banks does automated bank reconciliation work with?

Any bank whose statements you can export as CSV, Excel or PDF, including Malaysian banks' online banking exports, plus banks that offer a feed or API. IBG and DuitNow descriptions are read for invoice numbers and payer names. We test on your own statements during discovery, including a messy month.

Can approved matches be posted into AutoCount or Xero?

Yes, depending on your version and modules. AutoCount and Xero connect through their APIs or supported imports, and approved matches are posted as receipts or payments. Each posting records the rule that matched it and the person who approved it. Other accounting systems are checked during discovery for what they allow.

How are part payments and payments with no reference handled?

They go to finance with the likely options attached. A part payment is matched to its open invoice and flagged with the balance outstanding, and a transfer covering several invoices gets a suggested split. Payments with no reference are tried by amount and date, then AI reads the description; if nothing fits with confidence, the line waits in the exception queue.

How is this different from bank reconciliation software or doing it by hand?

It takes over the ticking, not the judgement. Compared with doing it by hand, routine lines are matched before finance opens the file. Compared with off-the-shelf bank reconciliation software, the rules are built around how your customers actually pay, including shortened payer names and combined transfers, and results land in the accounting system you already use.

Who can see our bank data?

Only the people and systems you approve. Statements are processed in the hosting you agree, AI providers are confirmed per project and customer details are handled under PDPA. Every match, approval and posting is logged, uncertain matches wait for approval, and entries in closed periods are left untouched.

What does it cost, and how long does it take to set up?

It depends on how many banks and accounts you reconcile, how statements reach you and what your accounting system allows, so it is quoted privately after a free discovery session. The timeline follows the same factors. We start with one bank account and its matching rules, check the results against a past month, then add the others.
